Act oneThe brief
What you told us
Five things we heard on 28 September.
If any of these is wrong, tell us, because everything after follows from them.
More society dates to sell
The restrictions are easing. Societies are no longer limited to Thursdays and Fridays, and some weekend dates are opening up.
More than golf
Christmas parties, corporate events, meeting and training days, and venue hire. Toby wants these pushed too.
Word of mouth only goes so far
It brings some bookings in. The rest depends on being where organisers look.
Two of you, doing it all
Lucy sends the monthly email to the public, you send the members’ emails, and paid adverts have run now and then, in house.
No budget set yet
So every line is priced on its own, and the campaigns cost half as much when you run them through Capture.
And from our call with Lucy in April: enquiries from the website forms copied by hand into Trello, membership full with enquiries waiting for a reply, nothing going out after a tour or an event, and birthday lists printed for the bar. Capture fixes those too.
The club in numbers
Six numbers, and the last one is ours.
- 144Players your society packages cater for, from as few as twelve
- 116.50Pounds a head for The Albatross, your top summer society package
- 120Guests you can seat for festive dining this Christmas
- 3Joiner party nights this December: the 4th, 11th and 18th
- 44.95Pounds a head for a joiner night, with a welcome drink, two courses and a DJ
- 482Membership enquiries from the two campaigns we ran for Clandon in spring 2024, at £2.21 each
That was membership. The same work, pointed at societies and events, is what this proposal is about.
How an enquiry arrives today
Good packages, and a person at the end of every route.
| What they want | How they enquire today |
|---|---|
| A society day | They fill in the society form on your website, which tells them the team will reply within 24 hours, or they call extension 2. |
| A Christmas party | They fill in the events form, or book a joiner night through IntelligentGolf. The packages are in PDFs. |
| A wedding or celebration | They fill in the same events form, or call extension 3. |
| A meeting or training day | They read the Corporate & Training Days page and brochure, then fill in the events form or call. |
The office is open from eight until half past four. An enquiry that arrives at nine in the evening waits until the morning, and so does the organiser.
This is where golf days are lost. 59club’s mystery shopping found golf day enquirers received their quote only 44% of the time, and the sale was not chased 89% of the time.

What we think you need
Adverts find the organisers. The follow-up books them.
You asked us about campaigns, and we will run them. But a campaign only brings in names. What turns a name into a booked society day is what happens next: a reply in seconds, a call from Ellen while they are still keen, and an email every month or two so that when they plan next year, Clandon is the club in their inbox.
Societies are repeat business. Every year the same organiser comes back to the same question: where shall we play next? The club that has kept in touch, consistently and in a way that looks the part, is the one they think of first.
Every lead, followed up
Capture puts every enquiry in one list for Ellen to call, and chases for her.
CaptureYour society database
Past bookers emailed, called and texted, and every club email built in minutes.
Included with CaptureThe campaigns
Societies, Christmas, and corporate days, each feeding the same list.
£1,500 with CaptureThe Concierge
Answers on your website when the office is shut. Optional.
£69 a monthOne · Every lead, followed up
One list of leads, for Ellen to call.
Capture is the CRM built for golf clubs. Every enquiry, from the adverts, your website forms and the Concierge, lands in one place: societies in one pipeline, events in another, with the name, number, date, group size and package already on it.
- An instant reply, in your brand, the moment they enquire, day or night
- An AI text conversation that picks up the lead straight away, below
- A reminder to call, and follow-up emails that run until they answer
- Every lead tracked from called to quoted to booked, so you can see what each campaign actually sold
- Email marketing to the whole list, with every organiser who has ever enquired kept for next season
Your tee sheet stays where it is. Capture sits alongside IntelligentGolf today, and alongside whichever system comes next.
AI text follow-up
A text conversation that starts in seconds, even at nine at night.
Capture’s Conversation AI texts every new lead in Clandon’s name within a minute of the enquiry. It asks the organiser what date they have in mind and how many players, answers their questions from your own packages and prices, and books a time for Ellen to call. When Ellen replies herself, it steps back.
- No lead waits until morning. The conversation starts while they are still thinking about it.
- Ellen calls people who are ready. The date, numbers and package are on the record before she picks up the phone.
- Leads who miss Ellen’s call still get followed up, and can reply by text when it suits them.
- You stay in control. It can send on its own, or draft each reply for Ellen to approve, and every message sits on the contact’s record.
Text messages, from Clandon Regis
Hi Mark, thanks for asking about a society day at Clandon Regis. What date are you thinking of, and roughly how many players?
Late June, about 20 of us
Lovely. In summer The Par is £80.50 a head with breakfast and 18 holes, and The Albatross is £116.50 with a three-course meal. Ellen can call you tomorrow to check dates. Does 10am suit?
Yes, after 10 is fine
Late June, 20 players and a 10am call saved to Mark’s record. Ellen is reminded to call.

Two · Your society database, and every email
Your past bookers are your best list. Keep talking to them.
In Capture, every organiser who has booked or enquired sits in a society database of its own, with the date they came and how many they brought. That list gets worked, not filed. Ellen calls them before next season, they get a text when new dates open, and they get an email every month or two: next year’s dates, a new package, Christmas golf, a reason to bring the group back.
Few clubs keep in touch with an organiser once the day is done, so the society that played with you this year hears nothing until they remember you themselves. Consistency is what brings them back.
And it is not just societies. Capture sends all your email: visitors, events and Christmas, Lucy’s monthly email to the public, and your members’ newsletters. Email Studio builds each one in your brand in minutes. It knows the club, writes the copy, uses your colours, logo and photographs, and checks every email before it goes. It is included with Capture. And the member emails we talked about in April, like birthday emails and updates to the people waiting for membership, can run on their own.

Examples, built from your own website and packages. Open any of them full size: society list, Christmas reply, members’ newsletter.

Three · The campaigns
Leads for Ellen to call, three ways.
Each is a managed lead-generation campaign on Facebook and Instagram: the audience, the adverts from your own photography, a short form that asks for the date, the numbers and the package, and a report every month. Every lead goes straight into Capture. This time the adverts run in your own Meta ad account, so the results and the audiences stay yours.
- Societies. Three months through the winter, while organisers plan 2027.
- Christmas. Straight away, for the joiner nights on 4, 11 and 18 December, private parties and festive dining.
- Corporate and meetings. From January, for the function room, just off the A3, from £13 a delegate.
Every campaign also retargets the people who already know you:
- Everyone who has looked at your society or Christmas pages sees the adverts again on Facebook and Instagram, once the Meta pixel is on your website.
- Your existing society customers see them too, matched from your society database where they have agreed to marketing.
We have already done the research. Who books society days and Christmas nights, what they need to see, the questions every organiser asks, and ten adverts for each, ready to go. It is what we think you should do.
Clandon Regis Golf ClubSponsoredChristmas parties near Guildford. Join one of our party nights on 4, 11 or 18 December: a welcome drink, a two-course festive meal, a DJ and a dancefloor. Or book a private party, from £34.95 a head.
An example, from your published Christmas 2026 packages. The full sets of adverts are in the two strategies.
Four · The Concierge
It answers when the office is shut.
Optional, and worth having once Capture is running. The Concierge sits on your current website and answers from your own pages and packages, day and night. When someone is ready, it takes their name, date and numbers straight into Capture for Ellen to call.
The voice version you saw, which answers the phone, can follow once the chat version has proved itself.

What does a society day cost for 20 of us in June?
In summer, The Par is £80.50 a head with breakfast on arrival and 18 holes. The Birdie+ adds a one-course meal at £96.50, and The Albatross a three-course meal at £116.50. Can I take your name, the date and your numbers? Ellen will call you to confirm.
Captured as a society enquiry for 20. The branded reply goes out, and Ellen is reminded to call.

Act threeInvestment
Capture costs less than it saves.
- 3,000Pounds saved on the two campaigns by running them through Capture
- 2,607Pounds for Capture’s whole first year, setup included
- 2,796Pounds from one summer society of 24 on The Albatross
It is not free, and we would not pretend it is. But one society day covers a year of Capture, and every organiser it brings in stays on your list for next season.
A yes, a no, or a conversation.
Take it to Toby
Pick the lines you want.
Christmas goes first
December is close, so the Christmas adverts are built and live as soon as you say yes.
Capture live in fourteen days
Pipelines, replies and texts built in your brand, Ellen and Lucy trained, and the first email to your society list ready to send.
The societies and corporate campaigns are three-month runs; Christmas runs to the last party night. The half-price campaigns apply when Capture starts before the end of 2026, for as long as Capture is in place. Capture runs on a twelve-month initial term, then monthly with thirty days’ notice. Everything we build is yours, including the database and every contact in it. This proposal is valid for thirty days from 9 October 2026.
Ask the Concierge anything about Clandon Regis.
This is the real Concierge, reading Clandon’s own information. Ask about society packages, Christmas parties, the course or the clubhouse.
A demonstration: anything you send here comes to Albatross, not to the club office.
